How to Set Up a Professional Business Email With Your Own Domain in Uganda

If your customers receive quotations from mukasa.hardware2019@gmail.com, some will wonder whether you are a real business. An address like sales@mukasahardware.co.ug looks established, is easier to remember and gives you control over your company's communication. Setting it up is easier than most people think.

What you need

  1. A domain name, such as yourbusiness.co.ug, yourbusiness.ug or yourbusiness.com.
  2. An email hosting service that stores and delivers your mail.
  3. Access to DNS settings for your domain, usually through your domain registrar or hosting control panel.

Step 1: Choose and register a domain

Pick a short name that matches your brand and is easy to spell over the phone. Ugandan businesses often choose .co.ug for companies, .ug for a short local identity, or .com for international reach. Register through an accredited registrar and make sure the domain is registered in your business or personal name, not your developer's.

Step 2: Choose an email hosting option

Option A: Google Workspace

  • Gmail interface you already know, with your own domain
  • Includes Google Drive, Calendar, Meet and Docs
  • Charged per user per month in US dollars
  • Very reliable delivery and strong spam filtering
  • Best for teams that want collaboration tools and mobile access

Option B: Microsoft 365

  • Outlook email with your domain
  • Includes Word, Excel, PowerPoint, Teams and OneDrive depending on plan
  • Charged per user per month
  • Best for businesses that already rely on Microsoft Office

Option C: Email included with web hosting (cPanel)

  • Most local and international hosting plans include email accounts
  • Lowest cost, often unlimited mailboxes for a fixed annual fee
  • Use webmail or connect to Gmail, Outlook or your phone's mail app
  • Delivery quality depends on the host. Configure SPF, DKIM and DMARC properly.
  • Best for small businesses on a tight budget

Step 3: Point your domain to the email service (DNS)

Your email provider will give you records to add in your DNS settings:

  • MX records: tell the internet where to deliver your email.
  • SPF record (TXT): lists the servers allowed to send email for your domain. Example: v=spf1 include:_spf.google.com ~all for Google Workspace.
  • DKIM record: a digital signature that proves your emails are genuine.
  • DMARC record: tells receiving servers what to do with emails that fail checks, and sends you reports.

DNS changes can take from a few minutes to 48 hours to work everywhere. Do not delete old MX records until the new service is ready, or you may lose email during the switch.

Step 4: Create mailboxes and aliases

Create mailboxes for real people (jane@, okello@) and aliases or groups for functions:

  • info@ for general enquiries
  • sales@ for quotations
  • accounts@ for invoices and payments
  • support@ for customer care

Aliases can forward to one or more people, so you do not pay for extra mailboxes.

Step 5: Set up on phones and computers

Install the Gmail or Outlook app, or add the account to your phone's mail app using the settings your provider gives you (IMAP and SMTP server names, ports and SSL). Test sending and receiving to Gmail, Yahoo and Outlook addresses.

Step 6: Add a professional signature

Include your name, title, company, phone number, website and physical address. Keep it simple. Avoid large images that make emails look like spam.

How to avoid landing in spam

  • Set up SPF, DKIM and DMARC correctly.
  • Do not send bulk marketing from your normal mailbox. Use a proper email marketing service.
  • Avoid all capital subject lines and too many links.
  • Keep your website and hosting secure, because hacked sites send spam that ruins your domain's reputation.

Security tips

  • Enable two factor authentication on every mailbox.
  • Use strong, unique passwords.
  • Train staff to recognise phishing emails and fake invoice changes.
  • Always confirm bank detail changes by phone before paying a supplier.
  • Remove access immediately when staff leave.
